Inviting Team Members

Bring your team on board so they can help manage menus, update the website, or handle day-to-day operations.

Sending an Invitation

  1. Go to Settings > Team
  2. Click Invite Team Member
  3. Enter their email address
  4. Select their role (Owner, Manager, Staff)
  5. Click Send Invite

An email invitation is sent immediately.

What Happens Next

For the New Team Member

  1. They receive an email with your invitation
  2. They click the link to accept
  3. If new to Welcome, they create an account
  4. If existing user, they just accept
  5. They can now access your business

For You

  • You see "Pending" next to their name until they accept
  • Once accepted, status changes to "Active"
  • They appear in your team list

Choosing the Right Role

| Role | Best For | |------|----------| | Owner | Business partners, people who need full control | | Manager | GMs, marketing managers, operations leads | | Staff | Employees who need limited access |

When in doubt, start with a lower permission level. You can always upgrade later.

Resending an Invitation

If they didn't receive the email or it expired:

  1. Go to Settings > Team
  2. Find the pending invitation
  3. Click Resend

Cancelling a Pending Invitation

Changed your mind?

  1. Go to Settings > Team
  2. Find the pending invitation
  3. Click Cancel or delete

The invitation link becomes invalid.

Inviting Multiple People

Send invitations one at a time. Each person needs their own invitation with their own role assignment.

Common Questions

Can I invite someone who already uses Welcome for another restaurant?

Yes! They'll be able to switch between businesses in their account.

What if they don't see the invitation email?

Have them check spam/junk folders. Or resend the invitation.

How many team members can I add?

Check your plan details for any limits. Most plans allow multiple team members.

Can I change someone's role later?

Yes—see Roles and Permissions for how to adjust roles.
