Event Statuses

Events have different statuses that control visibility. Here's what each means.

Status Types

Draft

  • Visible on website: No
  • Purpose: Work in progress, not ready to announce

Use draft for:

  • Events you're still planning
  • Tentative events not yet confirmed
  • Templates for future events

Published

  • Visible on website: Yes
  • Purpose: Active, promoted events

Published events:

  • Appear on your Events page
  • Can be shared and promoted
  • Are visible to customers

Past / Archived

  • Visible on website: Usually hidden
  • Purpose: Events that have ended

Past events:

  • Automatically move to past after the date
  • Can be shown in an archive if you choose
  • Retain data for your records

Cancelled

  • Visible on website: Configurable
  • Purpose: Events that won't happen

Cancelled events can either:

  • Disappear entirely
  • Show as cancelled (so people who saw it know it's off)

Changing Status

Publishing a Draft

  1. Open the event
  2. Click Publish
  3. Event immediately appears on your website

Unpublishing (Back to Draft)

  1. Open the event
  2. Change status to Draft
  3. Event disappears from website but isn't deleted

Cancelling an Event

  1. Open the event
  2. Click Cancel or change status
  3. Choose whether to show cancellation message

Deleting an Event

Permanently removes the event. Use only when you're sure—there's no undo.

Automatic Status Changes

Past Events

Once an event's date passes, it automatically moves to "past" status. You don't need to manually close events.

Future Scheduled Publishing

Some events can be scheduled to publish automatically on a future date—great for planning ahead.

Viewing Events by Status

Filter your events list by status:

  • All events
  • Published (active)
  • Drafts
  • Past
  • Cancelled

Best Practices

Clean Up Old Events

Periodically review past events. Delete ones you don't need for records.

Communicate Cancellations

If you must cancel, update the event rather than just deleting it. Customers who were planning to attend will appreciate knowing.

Use Drafts Liberally

Create drafts for tentative events. It's easier to publish a draft than create from scratch last minute.

Common Questions

Can I republish a past event?

You'd create a new event with updated dates. Past events are archived, not reused.

What if I need to change a published event's date?

Edit the event and update the date. Changes appear immediately.

Do cancelled events show in analytics?

They remain in your records but typically don't count toward active event metrics.
