Managing Event Occurrences
When you have a recurring event, each instance is an "occurrence." Most of the time, all occurrences look the same. But sometimes you need to tweak one specific date.
What's an Occurrence?
An occurrence is a single instance of a recurring event:
- "Trivia Tuesday" is the recurring event
- "Trivia Tuesday on March 15th" is an occurrence
Viewing Occurrences
- Open your recurring event
- Look for the Occurrences or Schedule tab
- See upcoming instances listed

Editing a Single Occurrence
When one week is different:
- Find the specific occurrence
- Click to edit just that instance
- Change what's different (title, time, description)
- Save
Other occurrences remain unchanged.
Common Reasons to Edit
- Different performer this week
- Time change for a holiday
- Special theme for one week
- Venue change (different location)
Cancelling an Occurrence
Need to skip a week?
- Find the occurrence
- Mark as cancelled or delete that instance
- The recurring pattern continues around it
The event still happens the week before and after—just not that one date.
Adding Extra Occurrences
Add an occurrence outside the regular pattern:
- Open the recurring event
- Add a one-time occurrence
- Set the special date and details
Example: Your weekly trivia is every Tuesday, but you're adding a special championship Friday.
Occurrence vs. Parent Event

Display to Customers
Customers see:
- List of upcoming occurrences
- Any special notes for specific dates
- The overall event pattern
Cancelled occurrences typically don't appear (or show as cancelled if you prefer).
Common Questions
If I delete an occurrence, does it delete the whole series?
No—only that one instance is removed. The series continues.
Can I restore a deleted occurrence?
No—you'd need to create it again manually.
How do I change the time for ALL occurrences?
Edit the parent recurring event, not individual occurrences.
